Who is responsible
SONIC PULSE LTD, at 29 Balvie Road, Milngavie, Glasgow, Scotland, G62 7EH, is the data controller for this store. Privacy questions and rights requests can be sent to support@sonicpulseuk.shop or made through our Contact page.
Our store serves customers internationally from the United Kingdom. The UK Information Commissioner’s Office is the relevant supervisory authority for our UK processing.
What we collect
We collect information you give us: name, email, phone, billing and delivery addresses, order contents, customer messages, return reasons, bulk-enquiry details and consent choices. We keep order references, payment status, refund status and limited payment metadata supplied by the payment provider.
We may also receive device, browser, IP address, cookie identifiers, page interactions, approximate location and fraud-prevention signals from hosting, security, analytics and payment systems. We do not ask for account passwords because customer accounts are not required.
Collection sources
Data comes directly from checkout, contact, support and club-order forms; automatically from essential site and security logs; and from processors involved in payment, email, hosting, fraud prevention and delivery. Delivery carriers may return tracking and delivery-event data. We do not buy consumer contact lists.
Why we use it and legal bases
We use contact, order, billing and delivery data to take steps before a contract, accept and fulfil an order, provide tracking, handle returns and refunds, and give product support. We use records for tax, accounting and consumer-law duties where processing is required by law.
We rely on legitimate interests for store security, fraud prevention, service improvement and responding to general enquiries, balanced against your rights. We rely on consent for optional analytics or marketing where required; consent can be withdrawn without affecting earlier lawful processing.
Payments and card data
Stripe or PayPal processes payment and billing information under its own privacy terms. Card and wallet details are entered into the provider’s hosted payment interface. SONIC PULSE LTD does not receive or store complete card numbers or card security codes.
We receive the payer identity, transaction reference, payment status, amount, currency, risk outcome and limited card or wallet descriptors needed to match payment to an order, prevent fraud and handle refunds.
Orders, delivery and returns
We use the recipient name, phone, email, delivery address and shipping address to pack and dispatch physical tabletop and puzzle accessories. Order fulfilment includes picking items, packing the parcel, booking a carrier, sending tracking updates and handling delivery questions. We share only the details a chosen postal or courier carrier needs to deliver and provide tracking. Support conversations, photos of damage, return reasons, carrier events and refund records are used to resolve delivery, product and return cases.
Who we share it with
We use processors for website hosting and security, payment processing, transactional email, customer support, analytics where consented, and postal or courier delivery. They receive only the data needed for their role and must protect it under contract or their applicable data-processing terms.
We may disclose information to professional advisers, insurers, courts, regulators, tax authorities or law enforcement where lawfully required, or in connection with a business reorganisation. We do not sell personal information or share it for cross-context behavioural advertising.
International transfers
Some processors may handle data outside the United Kingdom or European Economic Area. Where required, we use adequacy regulations, the UK International Data Transfer Agreement or Addendum, EU Standard Contractual Clauses and proportionate supplementary safeguards. Contact us for information about the transfer mechanism relevant to your data.
How long we keep it
Order, payment, tax and refund records are normally retained for up to 7 years after the relevant transaction. Support and contact records are normally retained for up to 24 months after closure; unsuccessful club enquiries for up to 12 months. Security logs are generally retained for up to 12 months. Consent records are kept while relevant and for a reasonable period afterwards.
We may keep information longer for an active dispute, legal hold or statutory duty, and delete or anonymise it when no longer required.
Security
We use access controls, encrypted connections, service-provider security controls, restricted administrative access, logging and data minimisation. No internet system is risk-free; if a personal-data breach creates a legal notification duty, we will notify the relevant authority and affected people as required.
UK, EU and California rights
Depending on your location, you may have rights to access, correct, erase, restrict, object to or port personal data; withdraw consent; and complain to a supervisory authority. UK and EEA users may complain to their local authority or the UK Information Commissioner’s Office.
California residents may request to know, correct or delete covered personal information and may not be discriminated against for exercising privacy rights. We do not sell personal information or share it for cross-context behavioural advertising, so there is no sale or sharing to opt out of. We will verify requests proportionately and may retain information where an exemption applies.
Cookies and analytics
Essential cookies support bag state, security, admin authentication and checkout. Optional analytics or preference cookies are used only where enabled and legally permitted. Browser settings can block cookies, although essential store functions may then be unavailable. Our Cookie Policy provides the current categories and controls.
Automated decisions and children
Payment and security providers may use automated fraud signals. We do not make solely automated decisions with legal or similarly significant effects about product access. You can contact us if a payment or fraud outcome appears incorrect.
The store is intended for adults and is not directed to children under 16. We do not knowingly collect children’s data. A parent or guardian can ask us to remove information submitted by a child.
